Job Summary:

As the Business Administration (BA) Summer Student, this position reports to the Manager, Business Administration within the BA Section of the Environmental Services (ES) Department, and assists directly with the water meter group to help support timely water meter maintenance and billing accuracies. The BA Summer Student will work closely with staff, contractors, to ensure that outstanding work orders are managed, documentation is accurate and fully updated, and customers are adhered to regarding their water meter maintenance.

Key Duties and Responsibilities:

  • Work with staff to create and update existing documentation (process flows, work instructions, SOPs) pertaining to current operational practices
  • Contact customers, perform follow-ups, to book water meter appointments with contractors
  • Coordinate, perform follow-ups on open work orders with staff, contractors, to ensure team accountability and progress
  • Assist with organizing team, departmental files, and converting to electronic as required
  • Provide overall administrative support for water meter team, keeping in mind excellent customer service as priority
  • Perform other duties as assigned, supporting both the team and departmental objectives

Minimum Education and Experience Required:

  • Working towards relevant college/university degree in Business, Environmental Management, Public Administration, Engineering, or related discipline.
  • Strong proficiency in MS Office Suite (Word, Excel, Visio), database (i.e. CRM) software.
  • Previous customer service experience and interest in civil services preferred
  • Excellent communication (email correspondence, documentation, phone) and interpersonal skills, with high-level of professionalism dealing with staff, customers.
  • Fluency in additional languages is an asset
